Sales and Operations Coordinator


POSITION TITLE:    Sales and Operations Coordinator
DEPARTMENT:      Sales and Marketing
SUPERVISOR:        Director of Sales, Branded Products
FLSA:                        Non-Exempt


Perform inside sales administration to coordinate information flow between our Sales, Marketing, Finance, Production, and Logistics teams as well as with our distributors, vendors, and customers.


Order Desk Administrator

  • Process all incoming sales orders, confirms orders with customers, and communicates daily with production department to ensure complete fulfillment of all orders
  • Ensures accuracy of all orders
  • Communicate with warehouse logistics team to insure orders are shipped complete
  • Follow up with distributor to report any out of stock or shorts issues
  • Manage order logistics for key accounts
  • Track incoming purchase orders, compare upcoming orders with historic orders, references inventory levels and provides production department with forecasts to ensure adequate inventory levels to meet projected sales
  • Responsible for orders from receipt of order to final communication to third party carrier.
  • Handle product returns and credit memos
  • Ensure all sales orders are processed quickly and accurately
  • Maintain open communication with all customers to ensure excellent customer service
  • Coordinate with accounting on costing, pricing and billing issues
  • Weekly update of new item sales tracking for Director of Sales
  • Properly maintain and back up all files and computer files
  • Direct all communications in a timely fashion to the appropriate person
  • Other duties as requested

Operations Coordinator

  • Act as a primary liaison between sales and operations teams
  • Coordinate and assist with production planning and scheduling
  • Ensure operations meets shipping dates according to sales forecasts and customer orders
  • Provide information to Production Planner to assist with management of product flow from production output to warehouse shipment
  • Analyze production specifications and capacity data to determine production plans which meet  distributor purchase order deadlines
  • Daily review of ingredients, packaging on hand, inventory and order demands
  • Perform weekly review with sales management and production planner to determine production allocations and production schedules
  • Monitors, analyzes, and reports on performance to schedule production and production support activities utilizing information derived from Purchasing team
  • Ensure production planner and sales department are fully cognizant of production status
  • and that work planning and execution objectives are integrated and communicated
  • Interface with Purchasing team to communicate arrival of materials and coordination of these with production planning
  • Prepare production reports and provides rationale and analysis of these and relays information
  • Communicates distributor pick up schedule with production and warehouse teams.


  • Ensure areas of responsibility are kept neat and clean
  • Participate in monthly team meetings, safety meetings and other meetings, as requested
  • Must comply with all health, safety, security and emergency requirements that are communicated to them, whether established by their manager, by the company or by law
  • Must work in a safe manner and communicate any safety hazard to a member of management
  • Must ensure work is produced in the most sustainable manner
  • Maintain excellent attendance
  • Other duties as requested


Education and Experience

  • Associate’s degree from an accredited college preferred
  • Must have experience as Sales Administrator or other relevant experience managing information flow and deadlines

Skills, Knowledge and Abilities

  • Proven PC competency and experience on Microsoft Office, data entry form orders, and accurate filing procedures
  • Excellent written and verbal English communication skills
  • Demonstrated ability to communicate effectively at all levels in the company 
  • Able to work with basic supervision, with initiative, and good judgment
  • Efficient and accurate with details
  • Must have a good telephone presence and ability to multitask
  • Friendly, courteous telephone manner
  • Strong interpersonal skills
  • Experience in project coordinator role
  • Ability to adapt to change and work in a fast-paced environment
  • Preference given to those with experience with CRM software usage
  • Preference given to those with experience in packaged goods or in the food industry sales


  • Extended periods of sitting
  • Short periods of standing, walking, bending, stooping, pushing, pulling, and stooping, turning the head and torso, reaching, grasping, bending and flexing the arms, legs, wrists, hands, and fingers  – repetitive at times
  • Extensive use of computer
  • Senses of being able to see, hear and have full power of speech are required
  • Ability to climb stairs
  • Must work in a safe manner
  • Ability to lift, hold and/or carry 10 pounds unassisted
