Purchasing and Inventory Control Assistant


POSITION TITLE:   Purchasing and Inventory Control Assistant 
DEPARTMENT:     Operations
SUPERVISOR:       Purchasing Manager
FLSA:                       Non-Exempt


The role of the Purchasing and Inventory Control Assistant is to assist the Purchasing Manager with the day to day operations of planning, executing, and finalizing purchases for the organization. This includes maintaining a perpetual inventory record of packaging material, ingredients, finished goods and all supplies needed for the operation.


To assist in the purchase of all inventory items, verifying receiver accuracy, accurate lot control, as well as any and all other items deemed necessary by the Purchasing Manager or Director of Logistics.


  • Create and maintain purchase orders in the operating system for packaging materials, ingredients, equipment, and supplies
  • Correspond or converse with vendors and company concerning inquires about purchase orders
  • Communicates with production, customer service, and warehouse about deliveries
  • Generate and maintains cycle count program.
  • Interview, identify, and qualify potential new vendors or suppliers in order to secure more cost-effective sources of products and services
  • Review all deliveries and checks for accuracy in all paperwork prior to entering it into the system. Compares PO’s to actual products received and noting any discrepancies, recording the proper lot codes, and reviewing the proper location items are stored.
  • Review and resolve supplier invoice discrepancies
  • Participate in month end inventories 
  • Ensure areas of responsibility are kept neat and clean
  • Participate in monthly team meetings, safety meetings and other meetings, as requested
  • Must comply with all health, safety, security and emergency requirements that are communicated to them, whether established by their manager, by the company or by law
  • Must work in a safe manner and communicate any safety hazard to a member of management
  • Must ensure work is produced in the most sustainable manner
  • Maintain excellent attendance
  • Other duties as requested


Education and Experience:

  • High school diploma or equivalent, preferred

Knowledge and Skill Requirements:

  • Basic knowledge of supply chain management in a manufacturing environment
  • Good working knowledge of requisitioning, ordering, maintaining inventory
  • Basic knowledge of inventory control procedures and terminology
  • Ability to make arithmetical computations used computer applications.
  • Proficient computer applications skills in Excel, Word, and Outlook, essential
  • Demonstrate good organizational skills and have a good eye for detail
  • Effectively communicate through written and oral communication to team members and stakeholders in a timely and clear fashion
  • Strong interpersonal skills, personal integrity, and good judgment with team members to Executive team
  • When necessary learn new skills to be proficient in all computer operations to perform their duties
  • Working knowledge of varied office equipment including but not limited to: copier, fax, 10 key/adding


  • Working in a manufacturing environment 
  • Extended periods of sitting
  • Frequent periods of standing, walking, bending, stooping, pushing, pulling, and stooping, turning the head and torso, reaching, grasping, bending and flexing the arms, legs, wrists, hands, and fingers  – repetitive at times
  • The senses of being able to see, hear and have full power of speech are required
  • Ability to climb stairs and balance is essential
  • Ability to work in environments with temperatures ranging  from -10 to 100 degrees
  • Ability to work in environments with noise produced by manufacturing machinery up to 90 decibels
  • Ability to lift, hold and/or carry up to 25 pounds of product, unassisted
  • Extended periods of working on a computer and looking at the computer screen
