Accounting Clerk


POSITION TITLE:    Accounting Clerk
DEPARTMENT:      Finance
SUPERVISOR:        Director of Finance
FLSA:                        Non-exempt

JOB OBJECTIVE:  This position provides a range of general clerical and accounting support and processes accounts payable and receivables as needed.


Accounts receivable:

  • Prints monthly customer statements and sends to customers
  • Investigate and resolve customers short pays, bill backs and deductions.
  • Process adjustments, including but not limited to RMA’s, bottle & crate returns

Accounts payable:

  • Check, verify and prepare invoices for input
  • Sort, code and enter accounts payable data
  • Tracks credit card charges and reconciles statements
  • Analyze discrepancies and unpaid invoices
  • Stuff checks and mail weekly check run
  • Maintain vendor files

State of California milk pooling documentation:

  • Recording of test results and data entry of milk tags from outside laboratories
  • Data entry of production runs
  • Various reports including: bulk milk entries, handler’s report, 800 report, and item statistical report

Other duties:

  • Assist with month end close i.e., bank reconciliations
  • Maintain Certificates of Insurance binder
  • Scanning, copying, filing
  • Ensure areas of responsibility are kept neat and clean, communicating any safety hazard immediately to a member of management
  • Comply with all health, safety, security and emergency procedures, processes, and requirements that are communicated to them, whether established by their manager, by the company or by law
  • Report any unsafe work, working conditions or accidents immediately to a supervisor, or member of management
  • Participate in monthly safety meetings and attend other meetings as requested
  • Ensure work is produced in the most sustainable manner
  • Maintain excellent attendance
  • Other duties as requested


Education & Experience

  • College degree or equivalent preferred
  • Minimum 1- 3 years Accounts Receivable and general accounting experience

Knowledge Skills & Abilities

  • Knowledge of finance principles and reporting
  • Ability to perform Excel at an intermediate level
  • Excellent English communication, written and verbal, skills are required
  • Spanish communication, written and verbal, highly preferred
  • Demonstrated ability to communicate effectively at all levels in the company
  • Demonstrated ability communicate effectively with customers via phone, email, mail or
  • personally
  • Ability to analyze and solve complex issues while providing great customer service
  • Ability to work within a rapidly changing environment with strict time deadlines, while maintaining
  • composure
  • Must be detail oriented and accurate
  • Must be able to rely on past experience to plan, organize and accomplish goals
  • Must demonstrate initiative on all projects
  • Ability to handle confidential material and issues appropriately
  • Ability and willingness to work on inter-departmental company-related projects
  • Must be a team player


  • Extensive use of computer
  • Extended periods of sitting
  • Short periods of standing, walking,  bending, stooping, pushing, pulling, turning the head and torso, reaching, grasping, bending and flexing the arms, legs, wrists, hands, and fingers  – repetitive at times
  • Ability to climb stairs
  • Ability to lift, hold and/or carry 10 pounds unassisted
